Privacy notice
Last updated: 28 October 2026
This notice explains what personal information Elite Fit Pro collects, why we collect it, who we share it with and the choices you have. It covers this website (elitefitpro.co.uk), our forms and waitlists, our free marketing plan quiz, and the emails, calls and messages we send.
Who we are
Elite Fit Pro is run by Elite Marketing and Design Ltd, trading as Elite Fit Pro, a company registered in England and Wales (company number 17535830), registered office 52 Chatsworth Road, Harrogate, HG1 5HS. We are the "controller" of your personal information, which means we decide how it is used.
Elite Marketing and Design Ltd also trades as The Marketing Machine, which provides the website builder and CRM we use (see "Who we share it with").
Questions about this notice or your information: email [email protected] or write to us at the address above.
What we collect
When you fill in a form or join a waitlist
This covers the coaching app waitlist, gym shop enquiries, PT course enrolment and the contact form. We collect your name, email address and phone number (if you give it), and what you tell us, such as your role (for example personal trainer or gym owner), your business name, the course, package or payment option you are asking about, and your message. We also record which page the form was on and, if you arrived from an advert or campaign link, the campaign details in that link.
When you take our free marketing plan quiz
Your name, email address, company name if you give it, and your answers about your business (for example your services, customers, budget, time available, current tools and biggest challenges). We also record whether you ticked the marketing opt-in, the consent wording you agreed to, and whether you confirmed your email address.
When you buy from us
Your billing details and what you bought. Card payments are handled by Stripe; we never see or store your full card number.
When you contact us or we speak
The emails, messages and call notes from those conversations.
When you visit the site
Our hosting providers receive the technical information every website receives, such as your IP address, browser type and the pages requested. This is used to deliver the site and keep it secure.
Please don't include information about your health, or anyone else's, in your answers.
How we use it, and our legal basis
- Replying to your enquiry, adding you to a waitlist you joined, or telling you when a product or course opens. Legal basis: taking steps at your request before a contract, and our legitimate interest in answering enquiries.
- Writing your marketing plan and content pack from your quiz answers, and emailing you the link. Legal basis: your consent, given on the quiz.
- Following up about your plan, including offering to help you put it into action. Legal basis: your consent, given on the quiz, and our legitimate interest in following up a request you made.
- Sending you marketing tips and offers by email. Legal basis: your consent where you ticked an opt-in box or, if you enquired about or bought something similar from us, our legitimate interest in telling you about our own similar products and services. Every marketing email has an unsubscribe link, and you can opt out at any time.
- Providing what you buy (software, gym shop, courses) and supporting you as a customer. Legal basis: performance of our contract with you.
- Keeping accounts, invoices and tax records. Legal basis: legal obligation.
- Keeping our site, systems and accounts secure, and preventing spam and abuse. Legal basis: our legitimate interests.
Where we rely on consent, you can withdraw it at any time by emailing [email protected]. Withdrawing consent doesn't affect anything we did before you withdrew it.
How the marketing plan quiz uses AI
Your quiz answers are sent to AI services that write your plan and content: Anthropic (Claude) writes the text and OpenAI creates any images. They process your answers only to produce your plan for us, under contract, and under their business terms they do not use our data to train their models. The plan is generated automatically, but it is advice for you to read, not a decision about you. No decision with legal or similarly significant effects is made about you by automated means.
Who we share it with
We don't sell your personal information. We share it only with service providers who handle it on our behalf and under contract:
- The Marketing Machine (part of the same company), which provides our website builder and our customer relationship management (CRM) system. Our website forms send your details straight to this CRM, where your contact details, answers and our messages to you are stored.
- Stripe, which processes card payments.
- Postmark and Resend, which send our emails.
- Anthropic and OpenAI, the AI services described above.
- Convex, Vercel and Cloudflare, which host our website, CRM, quiz and data.
- Cloudflare Turnstile, which checks that quiz entries come from people, not bots.
- Google Fonts, which supplies the fonts this site uses (your browser fetches them from Google, which receives your IP address).
We may also share information if the law requires it, to protect our rights, or with a buyer if our business is sold.
Payments
When you pay us, your card details go directly to Stripe, which processes the payment as an independent controller for its own fraud prevention and legal obligations. We receive confirmation of the payment, the amount, and limited card details (such as the card type and last four digits). You can read Stripe's privacy policy at stripe.com/gb/privacy.
Cookies and tracking
This site doesn't use advertising or third-party analytics cookies, and our forms don't send your details to any advertising or tracking service. The site may save a small setting in your browser (such as your choice of light or dark theme) so it remembers it. If we add analytics or advertising tools in future, we will only switch them on after you give consent, and we will update this notice first.
International transfers
Some of these providers store or process information outside the UK, mainly in the United States. When they do, we rely on the UK's adequacy regulations (including the UK Extension to the EU-US Data Privacy Framework, where the provider is certified) or the ICO's International Data Transfer Agreement or Addendum, so your information keeps an equivalent level of protection.
How long we keep it
- Enquiries, waitlists and quiz leads: up to 2 years after we were last in touch, then deleted, unless you become a customer.
- Your marketing plan link: for as long as we keep your quiz entry.
- Customers: for as long as you are a customer, then 6 years for tax and accounting records.
- Marketing preferences: we keep a record of your consent, and of any unsubscribe, so we can respect it.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the information we hold about you
- ask us to correct it
- ask us to delete it
- ask us to restrict how we use it, or object to us using it, including for direct marketing (we will always stop direct marketing when asked)
- withdraw your consent at any time
- ask for it in a portable format
To use any of these rights, email [email protected]. We will reply within one month. There is normally no charge.
Complaints
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator: ico.org.uk/make-a-complaint or 0303 123 1113.
Children
Our products, courses and quiz are for adults and businesses. We don't knowingly collect information from anyone under 18.
Changes to this notice
We may update this notice. The date at the top shows when it last changed. If we make a significant change, we will tell you by email if we have your address.
